Connect QuickBooks Time

An Aster organization admin connects QuickBooks Time in Control Hub > Integrations > QuickBooks Time with an access token. The connection is shared across the organization. QuickBooks Time is separate from QuickBooks Online and has its own token.
  1. In QuickBooks Time, sign in as an admin and open Feature Add-ons > Manage Add-ons, then install the API add-on if it isn’t already.
  2. In the API add-on, click Add a new application, give it a name such as “Aster”, and save.
  3. Copy the application’s access token. Set its expiration date as far out as QuickBooks Time allows, so the connection doesn’t lapse.
  4. Paste the token into Aster and save. Aster reads one user to check the token before saving.
  5. Enable the QuickBooks Time tools on your agent.
The token reads whatever its QuickBooks Time user can see, so create it as an admin. See QuickBooks Time’s API documentation for details.

Available tools

Dates use YYYY-MM-DD. Durations and payroll totals are in seconds; the project report returns hours. Timesheets exclude shifts still on the clock unless on_the_clock is yes or both. List calls return up to 200 rows per page. While more is true, call again with next_page as page and the same filters. Large results are attached to the conversation as JSON.

Example prompts

  • “How many hours did each technician work last week, with overtime?”
  • “Break October’s hours down by jobcode for the service crew.”
  • “Who is on the clock right now?”
  • “List timesheets for Ana Diaz from November 1 to 7.”

Troubleshooting

  • 401: The token expired or was deleted. Create or extend it in the API add-on, then reconnect.
  • 403: The token’s user lacks permission. Use an admin’s token.
  • 429: QuickBooks Time allows 300 requests per 5 minutes. Wait and retry.
The tools are read-only. The token stays server-side and is redacted in connection responses. To rotate it, edit the connection; to remove it, disconnect QuickBooks Time in Integrations.
